General Information for Banquet Events

To our Guests

We are excited to assist you, both in the planning and serving of your event. Should the menu selections presented not fulfill your requirements, please let us know as we would welcome the opportunity to create menu items to your specific needs.

Billing & Deposits

We welcome new guests, and require that credit be established with Elmcrest Country Club if functions are not paid in advance. Approved billings are payable within 30 days of receipt of statement. A minimum twenty percent (20%) deposit is required to confirm booking the event date. Fifty percent (50%) of the total bill is due six months prior to the event. Payment in full is due the evening of the event based on the final guarantee.

Guarantee Agreement

To insure the availability of all food and beverage items for your event we require a confirmation of guaranteed attendance at least 72 hours in advance of all functions. Your bill will be based on the guarantee number, plus charges over and above. Meals will be prepared for your guaranteed figure. For your convenience, we will consider the number of guests indicated as estimated on the function sheet contract as the guarantee, and invoice accordingly.

Upon notifying the Banquet Department of cancellation of event, the event will be subject to an assessment of the following:

Insurance & Indemnification

Guests shall indemnify and hold Elmcrest, its officers, Board of Directors, and employees harmless from any and all claims, suits, losses, damages and expenses on account of injury to any party in connection with the event or resulting from damage or destruction of any Club property by guests or any attendee of the event on Elmcrest's premises.

Liability

Elmcrest Country Club reserves the right to inspect and control all private events. Liability for damages to the premises will be charged accordingly. Elmcrest Country Club cannot assume responsibility for personal property and equipment brought onto the premises. Elmcrest Country Club may require security for events whose size and program may warrant it.

Room Assignments

Banquet rooms are assigned according to the anticipated guaranteed number of attendees. If there are fluctuations in the number of attendees, the Club reserves the right to reassign accordingly the appropriate banquet room or rooms.

Service Charge & Sales Tax

All food and beverage is subject to applicable service charges and sales tax as specified on the function sheet contract. This fee for non-member events is a 21% service charge and 5% sales tax.

Audio-Visual Equipment & Services

We are happy to arrange for all audio-visual requirements for your event. Most items are available, for rent, from an outside source. An automatic 21% service charge and 5% state tax is added to all rental items. Our added services include: Projectors, VCRs, TVs, DVDs, Conference Phone, Screens and Microphone Service are rented and charged accordingly. Internet Service is available in some rooms. Valet parking available upon request.

Room Rental

Banquet rooms are assigned accordingly to the anticipated guaranteed number of guests. Each room occupied is assessed a fee in addition to food and beverage charges.

Beverage Service Regulations

Elmcrest Country Club offers a complete selection of beverages to complement your event. Elmcrest Country Club is licensed and regulated by the state of Iowa to serve alcoholic beverages, and we are bound by Iowa State Liquor Laws. Elmcrest Country Club as a licensee, is responsible for the administration of these regulations, therefore, it is our policy that no liquor, wine, beer, or any alcoholic beverage be brought into or on our property from outside sources. Elmcrest Country Club is required to refuse service to anyone who may appear to be intoxicated or is under age. The legal age for consumption in Iowa is 21.
